The best planners are not the ones nothing goes wrong for. They are the ones who already decided what to do when it does.
Amateurs plan for the event they hope for. Professionals plan for the event that actually shows up: the one where the generator dies during the first dance, the caterer is stuck in traffic on the third mainland bridge, and the rain arrives exactly when the outdoor cocktail hour begins.
This is not pessimism. It is the job.

In medicine, you are trained to ask one question constantly: what is the worst thing this could be, and what will I do if it is. You do not wait for the emergency to start thinking. You have already rehearsed it. Events deserve the same discipline, because on the day, there is no time to think. There is only time to execute the decision you already made.

How to build your Plan B
- List the five things most likely to go wrong at this specific event. Not every possible disaster, just the likely ones for this venue, this season, this client.
- For each, write the single sentence answer: if this happens, we do that. Power fails, we switch to the backup generator and the DJ has a charged battery pack.
- Assign each contingency to a person by name. A plan nobody owns is not a plan.
- Put the critical few on the run of show, so they are visible on the day, not buried in your head.
You will not use most of your contingencies. That is not wasted work. That is insurance. The one time you need Plan C, it pays for all the plans you never touched.
The calm is the product
Clients cannot always tell the difference between a planner who is genuinely calm and one who is just hiding panic well. But they can feel the difference between a team that scrambles and a team that quietly executes. That calm is not a personality trait. It is preparation, wearing a nice outfit.
