Why memory fails you
You remember the confirmed jobs. What you forget are the maybes, the tentative holds, the client who said let me confirm next week and then went quiet, and the friend you promised months ago. Double bookings almost never happen between two confirmed events. They happen in the fog of the half-confirmed.

- One calendar, and only one. Every event, every hold, every maybe, lives in a single place you check before you say yes to anything.
- Colour or label your statuses. Confirmed, tentative, and enquiry should look different at a glance, so a maybe is never mistaken for a free day.
- No date is held without a deposit. A hold with no money is not a booking, it is a hope. Say so kindly, and keep the date open until money moves.
- Set an expiry on every tentative hold. If they have not confirmed by a date, the hold drops and you tell them. No indefinite maybes clogging your calendar.
- Check the one calendar before every yes. Every single time. This is the whole system. The other four steps just make this last one reliable.
A booking system is not software you have to buy. It is a habit you have to keep. A shared calendar and five disciplined steps will save you the worst phone call in this business.
